Information we collect
We collect information in the following ways:
- Information you give us – When you post information on our social media, sign up for news, become a funder, register for an event, or submit a funding application, we’ll ask for personal information. The personal information that you are asked to provide, and the reasons why you are asked to provide it, will be made clear to you at the point we ask you to provide your personal information. If you contact us directly, we may receive additional information about you such as your name, email address, phone number, the contents of the message and/or attachments you may send us, and any other information you may choose to provide.
- Information we get from your use of our website, emails, and social media – We collect information about our online content that you use and how you use it, like when you sign up for updates and newsletters, watch a video on YouTube, visit our website or view and interact with our external communications and social media content. Like all organisations, we can confirm what browser you are using, IP address and computer operating systems that are being used; this information may be used to improve our engagement and services.
- Information available publicly – We might also obtain personal data about individuals who may be interested in joining or funding CTRF. In this scenario, CTRF may seek to learn more about these individuals and their interests and motivations through publicly available information. Where we decide not to make contact, we will delete any personal data obtained, other than basic contact details, to which we will apply a flag to ensure we do not make contact in the future. - Information from third parties – CTRF’s Privacy Policy does not apply to other advertisers or websites. Thus, we are advising you to consult the respective Privacy Policies of these third-party ad servers for more detailed information.
N.B. Wherever possible we use aggregated or anonymous information which does not identify individuals by name.
What personal information do we process?
We collect, store, and use the following kinds of personal information:
- Your name and contact details, including postal address, telephone number, email address, and, where applicable, your social media profile.
- Your date of birth
- Financial information you provide when you submit a funding application, such as bank details
- Information about your computer/mobile device and your visits to and use of this website, including for example your IP address and geographical location.
- Information about our services which you use/which we consider of interest to you
- Any other personal information you share with us as described above
How we use your information
We use your personal information for several purposes including:
- To provide you with the communications, services or information you have requested
- To provide, operate, maintain, improve, personalise, and expand our website
- To understand and analyse how you use our website or engage with us in other ways
- To fundraise in a manner referred to in this Policy or that you would reasonably expect
- We may collect personal information to conduct research, and this is on occasion through our existing network and external research providers. We may also analyse information you provide to us with other freely available public information to create a profile of your interests, preferences, level of potential donation, etc. so that we can contact you in the most appropriate way and with the most relevant information (see the ‘Prospect Research’ section below for more information).*
- For administration purposes such as record keeping of inquiries, feedback, or complaints.
- To invite you to participate in surveys or research (although this is voluntary)
- To use IP addresses to identify your approximate location, to block disruptive use, to record website traffic, or to personalise the way our information is presented to you
- Where collecting and holding your information is required or authorised by law
- We may use your personal information for credit risk reduction or fraud prevention (using external specialist agencies to help us). Please see ‘Who do you share my details with?’ to find out more
- Other specific purpose that you may agree to from time to time
*Before seeking or accepting major donations we are required to conduct a minimum level of due diligence. This means that if you opt out of the analysis of your data, we may still conduct some analysis that is required to enable us to accept a donation from you.
Log Files
CTRF follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and are a part of hosting services’ analytics. The information collected by log files includes internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any personally identifiable information. The purpose of the information is to analyse trends, administer the site, track user’s movement on the website, and gather demographic information.
Prospect Research
- We collect and process personal data for identifying potential supporters and donors and/or potential board members. This includes publicly available information and data provided directly by individuals or obtained from third-party sources.
- Before contacting you, we may use data analysis to interpret your data and predict how likely you are to be interested in or responsive to a particular campaign or message. Where we have identified that you have the capacity and/or affinity to support CTRF at a high level, we may collect additional information about you (see ‘How we use your information’ above) and combine, analyse and compile that information into a profile of you to assist us in engaging with you in a more personalised way. To do this efficiently, we may use trusted third-party specialist companies that collate and analyse information from public registers alongside statistical social-economic data to automate some of this work. This helps us to understand more about your interests and level of potential engagement.
- The processing of personal data for prospect research is based on our legitimate interest in furthering the foundation’s mission. We ensure that this processing does not override your rights and freedoms.
- You have the right to:
- Access your data and understand how it is used
- Request rectification or erasure of your data
- Object to processing, particularly with prospect research
- Restrict the processing of your data while a complaint is being reviewed
- We employ strict data protection measures to ensure the security and confidentiality of your data. We do not sell or share your data with third parties for marketing purpose.

How long do you keep my data for?
We keep your data where we have an ongoing legitimate or lawful need to do so.
Who do you share my details with?
We work with chosen organisations to help us deliver our work and services to you. For example, we may share your personal data with:
- Service providers who provide sub-contracting services to us. For example, helping to administer your contract/funds, printing and sending warranties and statements to you, and sending you emails about your involvement with us. We only share the data that’s necessary for them to provide their services.
- Credit reference agencies to check your identity, and address and to prevent fraud.
- Government bodies, law enforcement agencies, courts, or other third parties to comply with our legal obligations or lawful disclosure requests
Relevant data
To make sure we can receive data and communications from us, we ask you to make sure you tell us when you change your name, address, phone number or email address. Giving us your most up-to-date details will also help protect your contract or subscription by making sure any data we send you does not fall into the wrong hands. You can update your details by contacting us directly.
In the event of a data breach that could lead to a high risk to your rights and freedoms, we will let you know as soon as we reasonably can.
GDPR Data Protection Rights
We would like to make sure you are fully aware of all your data protection rights. Every user is entitled to the following:
- The right to access – You have the right to request copies of your personal data. We may charge you a small fee for this service.
- The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.
